3General Information on Data Processing
The protection of your personal data is particularly important to us. We process your personal data confidentially and in accordance with legal data protection regulations as well as this privacy policy.
What is personal data?
Personal data is any data that can be used to personally identify you. This includes, for example, name, address, email addresses, user behavior.
4Data Processing on Our Website
Your data is collected on the one hand by you providing it to us (e.g. by filling out contact forms). Other data is automatically recorded when you visit the website by our IT systems.
Voluntary Information
- • Contact form
- • Email contact
- • Appointment booking (Calendly)
- • Customer account and orders in the shop
Automatic Data
- • IP address
- • Browser information
- • Visit time
- • Referrer URL
5Customer account, orders & licences
In our online shop you can purchase software licences and hosting packages. To process your order, we process the data required for this purpose.
Data processed
- • First and last name
- • Billing address and, where applicable, delivery address
- • Email address
- • Order and invoice data
- • VAT identification number (for business customers)
- • Assigned licence keys
- • Password of the customer account — set by you, stored by us as a hash only
Purpose & legal basis
- • Performance of the contract: Art. 6 Para. 1 lit. b GDPR
- • Invoicing and accounting: Art. 6 Para. 1 lit. c GDPR (statutory retention obligations)
- • Provision of licence keys and access credentials
- • Customer account for managing your orders
Provision of licences
Once payment has been received, your licence key is generated automatically and made available in your customer account and by email. The licence keys are stored in encrypted form in our database.
Transfer to the licence manufacturer
Our licence keys come from the respective software manufacturers. So that a key can be issued and registered for you, we transmit the necessary details to the manufacturer of the respective product (for example Kaspersky, ESET, Bitdefender or Avast).
Transmitted: company name, name of the contact person, email address, telephone number, postal address and — where provided — the VAT identification number, together with the number and type of licences ordered.
Purpose: issuing, registering and administering your licence key with the manufacturer. Legal basis: Art. 6(1)(b) GDPR (performance of the contract of sale); procuring the licence is part of our contractual service.
The manufacturer processes this information as an independent controller for its own purposes, in particular licence administration and its own statutory obligations. We have therefore not concluded a data processing agreement with it. The manufacturer's own privacy terms apply to its processing; we will gladly name the respective manufacturer on request.
Verification of the VAT identification number (VIES)
If you provide a VAT identification number with an order, we verify its validity. The check is carried out via VIES, the system operated jointly by the Member States of the European Union for the exchange of VAT identification numbers. The query runs through the interface provided by the European Commission.
What is transmitted: the VAT identification number you provide and the country of your order. What we receive back: confirmation of whether the number is valid and, where applicable, the name and address of the business.
Purpose: to establish whether the conditions for the recipient being liable for the tax are met for a supply into another Member State of the European Union. Legal basis: Art. 6 Para. 1 lit. c GDPR in conjunction with our tax obligations (§ 14 UStG; § 18j UStG) and Art. 31 of Regulation (EU) No 904/2010 for the query itself. The result of the check, the number checked and the time of the check are stored with the order.
Customer account: creation, access and password
We only create a customer account where it is necessary for the service. This applies to hosting and services (web hosting, vServers, domains, email, IT support) and to subscriptions: you need to be able to manage these on an ongoing basis — websites, backups, schedules, contracts, renewals. For this, the account is necessary.
For a pure licence purchase we do not create an account. You receive your licence keys directly with the order confirmation by email. An account would not be necessary for a one-off purchase, and we therefore do not require one. You may create an account afterwards on a voluntary basis if you prefer to manage your orders and licences in the customer area.
The legal basis for the account for hosting and subscriptions is performance of a contract under Art. 6(1)(b) GDPR: without an account we could not provide these ongoing services and you could not manage them. For a pure licence purchase we do not base an account on that provision — it would not be necessary there.
You can order from us without creating an account. Guest checkout is the standard route, and it is just as simple as ordering with an account: you provide your email address and receive everything — order confirmation, invoice and licence keys — by email. No account is needed for this, and none is created unless you want one. If you create an account voluntarily — in the checkout by ticking the box, or later via the registration page — this is based on your consent under Art. 6(1)(a) GDPR. You may withdraw it at any time by having the account deleted; your orders and invoices remain unaffected.
You set the password yourself — we do not know it. No password is assigned when the account is created that could be disclosed to you or viewed by us. Instead, immediately after your order you receive an email containing a link with which you set your own password. The link is valid for a limited time and can be used only once.
We store your password only as a hash value using a one-way function (scrypt). The stored value cannot be used to reconstruct the password. If you request an email with a link to set your password, a single-use token is additionally stored for the duration of its validity; it expires once it has been used or once it lapses. Please note that an unencrypted email is generally not protected against being read in transit — the password itself, however, is never sent by email.
Storage duration of the customer account
- • Customer account: for the duration of the contractual relationship.
- • Invoices and accounting records: 10 years under § 147 AO – even if the account is deleted before then.
- • The country evidence for cross-border supplies (Art. 24f VAT Implementing Regulation) forms part of the invoice records and is also retained for 10 years.
- • Other customer account data: deleted once the purpose ceases, unless a statutory retention period applies.
Your rights regarding the customer account
You have the right to information (Art. 15 GDPR), rectification (Art. 16 GDPR), erasure (Art. 17 GDPR) and data portability (Art. 20 GDPR).
You can exercise these rights by email to info@thalvos.cloud or via the contact form. We will delete your customer account on request; the obligation to retain invoices under § 147 AO is unaffected. A full overview can be found further below in the section on your rights under the GDPR.
6Payment processing (Stripe)
For processing payments in our online shop we use the payment service provider Stripe. The provider for customers in the European Economic Area is Stripe Payments Europe, Limited, based in Ireland.
Payment Service Provider
Provider: Stripe Payments Europe, Limited
Address: 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, Ireland
Website: stripe.com
Data processed
- • Name and email address
- • Billing address
- • Payment amount and currency
- • Payment method and transaction ID
- • For SEPA direct debit: account holder and IBAN
- • Issuer country of the payment card used
- • The card's billing address held by the payment service provider
- • For payment methods without a card: the country of the bank account (place where the account is held)
Legal basis
- • Art. 6 Para. 1 lit. b GDPR (performance of the contract)
- • Art. 6 Para. 1 lit. c GDPR (statutory retention and evidentiary obligations, in particular the proof requirement under Art. 24f of the VAT Implementing Regulation)
Third country transfer and card data
Stripe is an internationally operating company. Processing by Stripe, Inc., based in the USA, is possible. The transfer is based on the Standard Contractual Clauses of the EU Commission pursuant to Art. 46 Para. 2 lit. c GDPR.
Important: Complete credit card numbers are processed and stored exclusively by Stripe. We ourselves do not receive or store complete card data. Further information: stripe.com/de/privacy
Country evidence for cross-border supplies (Art. 24f VAT Implementing Regulation)
We also sell software licences and hosting packages to customers in other Member States of the European Union. For these supplies, the applicable rate of VAT and the place of taxation depend on the customer's country. We are required to be able to evidence that country to the tax authorities. The invoice address alone is not sufficient for this, because it is entered by you.
We therefore store, for each order, the country information that the payment service provider transmits to us with your payment: the issuer country of the payment card used, the card's billing address held by the payment service provider and – for payment methods without a card – the country of the bank account. We also record which of these details was used for the check and at what time it was made.
Legal basis: Art. 6 Para. 1 lit. c GDPR in conjunction with the proof requirement under Art. 24f of Regulation (EU) No 282/2011 (VAT Implementing Regulation) and our participation in the One Stop Shop procedure under § 18j of the German VAT Act (UStG).
Retention: The country evidence forms part of the invoice records and is retained for 10 years (§ 147 Para. 3 of the German Fiscal Code, AO). The records for the One Stop Shop procedure are also subject to a ten-year retention period (Art. 47i of Regulation (EU) No 904/2010). The full card number is not stored.
7Object Storage — files in S3 format
You have the option of storing files in our S3-compatible Object Storage (endpoint s3.thalvos.cloud). The storage runs on a server of our own; your files never leave our infrastructure.
Provision
Software: Garage (operated by us, open source)
Access: S3 interface (access keys), encrypted transmission
Encryption at rest: AES-256
Operation: Tavo-IT’s own server (OVH data centre)
Data processed
- • the files you upload
- • file metadata (name, size, timestamp)
- • name of the bucket (storage area)
- • API access keys
- • storage space used and transfer volumes for billing
Legal basis
- • Art. 6 (1) (b) GDPR (contract performance)
Confidentiality
We do not read your files. Our access is limited to provisioning, operation, billing and troubleshooting.
Storage duration
We store files and buckets for as long as you use the Object Storage and have not deleted the files yourself. Billing data is subject to the statutory retention periods under tax and commercial law.
8Cloud instances (virtual servers, KVM)
You can order virtual servers with root access (KVM instances) in our shop. We set the instance up for you, operate it and bill you for its use.
Provision
Operation: servers of our own in OVH data centres
Setup: automated provisioning with the operating system you have chosen
Management: management service of our own on our server; no contract with a platform provider outside OVH
Data processed
- • account data from the order (name, email address, billing data)
- • the instance type and operating system you have chosen
- • name of the instance
- • public SSH key, if you provide one
- • measured data traffic and resource usage for billing
- • operating records such as start, stop and faults
Legal basis
- • Art. 6 (1) (b) GDPR (contract performance)
Your responsibility and our access
With root access you decide which software and which data run on the instance. The contents of your instance are your responsibility.
Our technical access is limited to provisioning, ongoing operation, invoicing and troubleshooting. We do not search your data.
Storage duration
We store instance, access and usage data until the end of the contractual relationship. Once it ends, we delete the instance together with the associated data; billing data is subject to the statutory retention periods.
9Hosting & Server
This website and the connected online shop are operated on a server of OVH US LLC. The personal data collected via this website and the shop are stored and processed on this server.
Hosting Provider
Third Country Transfer (USA)
The server location is in the United States. This means that personal data is transferred to a third country outside the EU or the EEA. The transfer is based on the Standard Contractual Clauses of the EU Commission pursuant to Art. 46 Para. 2 lit. c GDPR.
Despite the server location, we remain responsible for your data and process it exclusively in accordance with the requirements of this privacy policy and the GDPR.
Note on booked hosting services: This information concerns the operation of this website and the shop. For our hosting packages you choose the server location yourself; available are data centres in Germany (Frankfurt), North America (Virginia) and Asia (Singapore). The chosen location is transmitted with your enquiry.
Shop Technology
For the online shop we use the open-source shop platform Medusa as well as the PostgreSQL and Redis databases. These components run exclusively on the server mentioned above and are operated by us ourselves. No data is passed on to third parties in this context.
10SSL/TLS Encryption
For security reasons and to protect the transmission of confidential content, this site uses SSL or TLS encryption.
Secure Connection
You can recognize an encrypted connection by the fact that the address line of the browser changes from "http://" to "https://" and by the lock symbol in your browser line.
All data transmissions are encrypted11Server Log Files
The provider of the pages automatically collects and stores information in so-called server log files, which your browser automatically transmits to us:
Collected Data
- • Browser type and version
- • Operating system used
- • Referrer URL
- • Hostname of the accessing computer
- • Time of server request
- • IP address
Purpose of Use
- • Technical security
- • Error analysis
- • Performance optimization
- • Spam/bot detection
This data is not combined with other data sources.
Clarification regarding the IP address
Earlier versions of this policy stated "IP address (anonymized)" at this point. That was inaccurate. Our web server configuration does not keep access logs; however, the web server's operational logs record a visitor's IP address in plain text when a request causes an error. No anonymisation takes place in that process.
The IP address is therefore in any case personal data. How we handle the hash value derived from your IP address in the consent record is described in the following section.
12Consent record and IP address
If, during the checkout process, you expressly consent to us beginning performance of the contract before the cancellation period has expired, we record that consent on our servers. We are obliged to keep evidence that you gave your consent.
Data stored
- • Wording and version of the consent
- • Time of receipt (set by the server)
- • Language and scope of the consent
- • Truncated hash value of your IP address
- • Your browser identification (user agent)
Purpose & legal basis
- • Evidence of your consent under § 356 Para. 5 and 6 BGB
- • Art. 6 Para. 1 lit. c GDPR (legal obligation)
- • Art. 6 Para. 1 lit. f GDPR (preservation of evidence)
Your IP address: pseudonymised, not anonymised
We do not store your full IP address. A hash value is generated from the IP address on our servers (SHA-256); only the first 32 characters of it are stored. This value is generated using a fixed prefix that is part of the program code and is not a secret.
This is pseudonymisation, not anonymisation. The hash value does not reveal your IP address directly, but it can be matched back to it with reasonable effort. The value therefore remains personal data within the meaning of Art. 4 No. 1 GDPR and enjoys the full protection of this policy – including your rights under Art. 15 to 21 GDPR.
It is retained together with the invoice to which it belongs. Earlier versions of this policy stated "IP address (anonymized)" in two places. That was inaccurate and is corrected hereby.
13Contact Form / Email Contact
If you send us inquiries via contact form or email, your information will be stored with us for processing the inquiry and for follow-up questions.
Processed Data
- • Name and email address
- • Phone number (optional)
- • Message content
- • Time of inquiry
Legal Basis
Art. 6 Para. 1 lit. b GDPR (contract initiation)
Storage Duration
24 months after completion of correspondence
14Customer chat (AI assistant) — DeepSeek and Dify
Our website offers a chat window in which an AI assistant answers your questions about our services, licences and guides. The chat is part of the website itself and is run on our own server.
Provision
Software: the chat window built into the website (no third-party widget)
Operation: Tavo-IT’s own server; the search of our knowledge base (guides, wiki, frequently asked questions, product list) also runs on our own server
Language model: DeepSeek (API connection), operator: Hangzhou DeepSeek Artificial Intelligence Basic Technology Co., Ltd., People’s Republic of China
Handover: if the assistant cannot help, it refers you to contact a human being (email/phone); there is no fully automated processing with legal effect
No connection is made to DeepSeek’s servers when you open the chat window; this only happens once you submit a question.
What is transmitted to DeepSeek
To generate an answer, we transmit the following to DeepSeek:
- • the question you have entered (truncated to 1,500 characters)
- • the last six or so messages of the ongoing conversation as context
- • a short system instruction with the rules for the answer
Not transmitted: your IP address, your account data, your name, your email address, tracking or browser information. Questions asked in English are first translated into German by machine (also via DeepSeek).
Data processed
- • Chat content and conversation history
- • Time of the message
- • IP address — only within our own system, for the abuse guard (no more than 40 messages per hour); not sent to DeepSeek
Legal basis
- • Art. 6 (1) (f) GDPR (legitimate interest in answering enquiries promptly)
- • Art. 6 (1) (b) GDPR (insofar as orders, licences or contractual matters are involved)
Own system — the AI platform Dify
In addition, we run the self-hosted AI platform Dify on our own server, which we use to operate and maintain our knowledge base. This processing also takes place on our own infrastructure; no content is sent from the chat to any other third party.
Storage
We do not store your chat messages in a database of our own; they are used only to generate the current reply.
For technical reasons, short excerpts of chat content can appear in the logs of our server; these logs are overwritten promptly and removed on a regular basis.
DeepSeek’s own storage and security practice applies there; we have no influence on the exact storage period or on how the content is handled. If something is especially confidential, please do not send it through the chat — email info@thalvos.cloud instead. The chat is intended for general questions about our products and guides.
15Email communication and sending order emails (Resend)
We use the service Resend both for sending our automated emails and for receiving messages sent to our addresses. When you contact us by email or place an order, your messages and your email address are processed via Resend.
Sending
Order confirmations, proforma invoices, invoices, the transmission of licence keys and the email for setting your account password are sent automatically via Resend.
Receiving
Messages to our addresses are likewise accepted via Resend and forwarded to us. In doing so, the sender address, subject, content and time are processed.
Service and processing
Service: Resend (Resend, Inc.)
Technical infrastructure: Amazon Web Services (AWS), data centres in the EU (Ireland)
Purpose: contract communication, invoice delivery, handling enquiries
Data processed: email address, name, content of the message, time, technical metadata
Legal basis
- • Art. 6(1)(b) GDPR (performance of a contract) for order and invoice emails
- • Art. 6(1)(f) GDPR (legitimate interests) for handling enquiries
Messages are transmitted with TLS encryption during processing. End-to-end encryption is not used in standard operation.
16Cookies & Tracking
Cookies are small text files that are stored on your computer. We use them sparingly:we use no cookies for advertising and carry out no profiling.
For reach measurement we use Umami, a service by Umami Software, Inc. Umami sets no cookies and stores no IP addresses. On the server it derives a hash that changes daily from the IP address and browser identifier in order to recognise returning visitors. That hash is pseudonymous, not anonymous — which is why we ask first.
Umami only runs if you choose „Alle akzeptieren" in the consent banner or switch on the „Statistik" category. The legal basis is your consent under Art. 6(1)(a) GDPR. You can withdraw it at any time via the „Cookie-Einstellungen" link in the footer; the measurement script is then removed immediately.
So that you do not have to choose your settings again on every visit, we store your language and currency selection locally in your browser. This information remains on your device and is not transmitted to us.

Purpose: Processing of card payments and SEPA direct debit
When you pay, you transmit your payment details directly to Stripe. We never see your card number — it is captured by Stripe within the form and does not pass through our servers. We only receive confirmation of whether the payment succeeded, along with the last four digits and the card scheme for reconciliation.
Stripe sets cookies for fraud detection (__stripe_mid, __stripe_sid, m). These are required for processing and contain no card data, only random identifiers.

Purpose: Protecting the contact and enquiry forms against automated submissions
Before you submit a form, Turnstile checks in the background whether a human is behind the request. You will usually notice nothing — no puzzle, no image grid. Only when the check is uncertain does a brief field appear.
Your IP address, browser information and your behaviour while filling in the form are transmitted to Cloudflare. We store none of this; we only receive the answer “passed” or “failed”. Without this check the form would be filled with advertising within a few hours.

18Language notice without location detection
When you visit our website for the first time, we check whether we should show you a notice about the English language version. We do not determine your country for this, and your IP address is not transmitted to third parties.
Instead we read two pieces of information that your browser already provides:
Information read
- • Your browser language (for example "en-GB")
- • Your time zone (for example "Europe/London")
This information stays on your device
It is evaluated solely in your browser. Nothing is transmitted to us or to third parties. We use no external services for this and store no country.
Storage in your browser
We remember in your browser's local storage whether you have already seen the notice. This is not a cookie, and the information does not leave your device. You can delete it at any time via your browser settings.
